What the client needed
The company carried out recurring inspections on more than twelve types of assets, each with its own cycle and compliance rules. Schedules, field notes and client reports lived in separate places, and leadership wanted one live view of what was done, what was due and what needed attention.
Each asset type followed its own inspection rhythm and its own checklist, so the team spent hours every week working out what was due, chasing results and formatting reports by hand. The business wanted that time back for inspection work itself.
What we built
- A central application for every asset, inspection and certificate
- Automatic schedules for three, six and twelve month cycles
- Digital field forms for desktop, tablet and mobile
- Client ready reports generated straight from inspection data
- A live compliance view for leadership
How we solved it
We mapped each asset type, its inspection steps and the reports clients expected, then designed the data model around them. Field teams helped shape the forms so data capture felt natural on site, and reports were built to match the formats clients already trusted.
Work started with a series of sessions with the office team and inspectors. Every checklist became a structured digital form, every cycle became a rule, and every report layout was rebuilt so it fills itself from the data captured on site. Releases went out in stages so the team learned the system one part at a time.
The outcome
Manual tracking and reporting dropped by around 85 percent. Field teams spend their time on inspections, the office produces reports in minutes, and leadership sees compliance status across the whole portfolio at a glance.
Inspectors now record results once, on the device in their hand, and the report is ready when they leave the site. Upcoming inspections appear automatically, overdue items stand out immediately and audits are answered with a few clicks.
