Twelve AI tools we actually use with clients. What each one does well, where it falls short, what it costs, and when to pick it over the alternatives.
There are now hundreds of AI tools marketed to businesses. Most will not exist in two years. The ones on this list have either been in our own delivery stack for at least twelve months or have been evaluated across multiple client engagements and proven to earn their place.
We group them by purpose. Pick one tool per category, get that one working with your team, then add the next. The biggest mistake mid market businesses make with AI is trying to adopt six tools at once. Zero of them end up being used seriously.
Reasoning and Writing AI Tools
The foundational layer. Every business should have one high quality large language model tool in daily use. The choice between them is less about raw capability and more about workflow fit and pricing.
Claude by Anthropic
Claude from Anthropic is our default choice for long form reasoning, document analysis, and anything involving nuance or policy. Claude 4 Opus in particular handles complex multi step reasoning with noticeably better consistency than alternatives. Pricing for the API starts at three dollars per million input tokens. The consumer pro plan is twenty dollars per month.
Pick it when: You need careful, nuanced writing. Legal, compliance, or policy work. Long document analysis. Anything where tone and accuracy matter more than raw speed.
ChatGPT by OpenAI
ChatGPT from OpenAI remains the most broadly capable general purpose assistant. The GPT 5 family is strong at coding, structured data work, and anything that benefits from the massive plugin and integration ecosystem. Twenty dollars per month for Plus, two hundred for Pro with unlimited reasoning use.
Pick it when: You want the largest ecosystem of integrations and plugins. Coding and technical work. General purpose daily use. First AI tool for a business that has not yet adopted one.
Gemini by Google
Gemini is now embedded in every Google Workspace tier by default. If your business runs on Google Workspace, Gemini is available in Gmail, Docs, Sheets, and Meet with zero additional purchase decision needed.
Pick it when: Your business is standardised on Google Workspace. You want AI features inside the tools your team already uses rather than in a separate chat window.
Research and Search AI Tools
Perplexity AI
Perplexity is a search engine built around large language models with proper source citations. It has replaced Google for most of our research work internally. Free for basic use, twenty dollars per month for Pro.
Pick it when: You do significant competitive research, market analysis, or content research. Sales prep for big accounts. Anything where you would normally open ten Google tabs and synthesise.
Automation AI Tools
The category where AI has matured fastest in the last twelve months. All the major automation platforms have now shipped native AI agent capabilities.
n8n AI Agents
n8n is our platform of choice for most serious automation work. Source available, self hostable, priced sensibly, and with n8n 2.0 now has native AI agent nodes that let you chain reasoning with automation steps. Free for self hosted, twenty dollars per month for cloud starter.
Pick it when: You want full control of your automation stack, serious data sensitivity, or you want to consolidate multiple automation platforms onto one. Technical team required.
Make.com
Make.com (formerly Integromat) remains the strongest visual automation platform for non technical users. The AI modules integrate cleanly with OpenAI, Anthropic, and Google. Free tier available, paid plans from nine dollars per month.
Pick it when: Your automation creator is a non technical operations manager or marketing lead. You want rich visual flows and a gentle learning curve.
Microsoft Power Automate
Power Automate is the automatic right answer if your business runs on Microsoft 365. The April 2026 Copilot Agents update made it a serious AI agent platform. Included in many Microsoft 365 business plans, with additional capacity priced per user.
Pick it when: You are already on Microsoft 365. Automation needs touch SharePoint, Teams, Outlook, or Dataverse. Internal IT will be supporting the deployment.
Analytics and Business Intelligence AI Tools
Power BI Copilot
Power BI Copilot lets users ask natural language questions of their data, generate dashboards from text prompts, and get explanations of visual trends in plain English. Included in Power BI Premium and Fabric capacity plans.
Pick it when: You already run analytics on Power BI. Your business users struggle to write DAX and would benefit from natural language querying.
Zoho Zia
Zia is Zoho’s AI layer embedded across CRM, Analytics, Desk, and Books. It handles anomaly detection, forecasting, and natural language queries. Included in most mid tier and above Zoho subscriptions.
Pick it when: Your business runs on the Zoho stack. Zia works particularly well for sales forecasting in Zoho CRM and anomaly detection in Zoho Analytics.
Visual and Creative AI Tools
Midjourney
Midjourney remains the premium image generation tool with the most distinctive aesthetic quality. Ten dollars per month for basic, sixty for Pro with faster generation and stealth mode.
Pick it when: You need on brand imagery for marketing, pitch decks, or social. The output quality is visibly better than free alternatives.
Runway
Runway is the most capable video generation and editing AI for business use. Particularly useful for marketing teams producing short form video content at scale. Plans from fifteen dollars per month.
Pick it when: Your marketing team produces significant video content. You want to turn static assets into motion without a full video production workflow.
Operations and Knowledge AI Tools
Notion AI
Notion AI is the most seamless in product AI we have tested. It summarises meeting notes, drafts documents, and answers questions about your Notion workspace with context from across all your pages. Ten dollars per user per month on top of standard Notion plans.
Pick it when: Notion is your team knowledge base or project management tool. Notion AI pays for itself the first week.
How to Pick What to Adopt First
Every business should have one team subscription to Claude, ChatGPT, or Gemini. Pick based on which ecosystem you are already in. This is the only non negotiable.
n8n, Make, or Power Automate depending on technical depth of your team and existing stack. Pick one workflow to automate in the first ninety days.
Power BI Copilot or Zoho Zia only make sense once your analytics foundation is in place. AI does not fix broken reporting, it accelerates good reporting.
Midjourney and Runway belong in the marketing budget, not the IT budget. They should be evaluated on brand fit and output quality.
The businesses that extract the most value from AI are rarely the ones with the longest tool lists. They are the ones that picked two or three tools, made them stick, and extended their usage over twelve to eighteen months. Focus beats breadth every time.
