Overview

DCMSH operates two distinct arms, an academic college and a hospital, under one institutional identity. The existing IT setup was fragmented. Staff used a mix of personal email accounts, no unified calendaring, no proper document storage, and no way to share institutional resources cleanly between departments. This was holding back both operations and credibility.

The decision was made to move to Google Workspace given the team’s familiarity with Google products and the flexibility it offered across roles ranging from administrative staff through faculty and hospital specialists.

The Challenge

Institutional IT deployments are harder than business deployments because the organisation structure is more layered. Academic departments, hospital departments, administrative functions, and leadership all have different workflows, different sharing needs, and different security requirements. A one size fits all Workspace setup would fail within weeks.

On top of that, migration had to happen without disrupting ongoing academic and hospital operations. Staff could not lose email access during class schedules or patient hours. Drives could not break during mid semester document exchanges. The whole rollout had to be staged carefully and communicated clearly.

What We Built

We designed the Workspace structure to reflect the real institutional hierarchy. Separate organisational units for the college and the hospital, shared resources where they made sense, proper group memberships, and email addresses that reinforced the institution’s brand rather than hiding it behind personal Gmail accounts.

Migration was done in phases. Leadership and heads of department first, then the broader academic and hospital staff. Every user got a branded @ dcmsh.com email, access to shared Drives organised by function, and proper onboarding so the team could actually use the tools rather than just having them.

Two step verification enforced, admin console hardened, least privilege for sensitive roles, sharing defaults set to prevent accidental data exposure.

Training and Documentation

Live rollout sessions tailored to academic staff, hospital staff, and administrative roles. Written reference documentation left in place for ongoing reference.
