Overview
Digital Control Systems had grown to the point where the team was losing time every week to fragmented collaboration. Email running on consumer Gmail accounts, file sharing happening through a mix of WhatsApp and personal Drive folders, and no identity layer controlling who could access what. As the team expanded, this setup was becoming both a bottleneck and a quiet security risk.
The leadership made the decision to move to a proper business collaboration stack. Microsoft 365 Business was the right fit given existing Office usage across the team and the need for proper identity, email, and structured document storage.
The Challenge
Moving a growing business off consumer tools onto a full business platform is harder than it looks. Mailboxes have to migrate without data loss, the team has to be trained to adopt the new tools rather than just having them installed, and identity has to be set up cleanly so access controls actually work going forward rather than becoming a maintenance burden.
On top of migration mechanics, the environment had to be designed to fit how the business actually operates. Shared document structures that reflect real workflows. Teams channels aligned to real projects. Security policies that protect the business without making day to day work feel locked down.
What We Built
We scoped the licensing based on actual user roles, designed the identity structure with proper naming conventions and group memberships, migrated existing email into Outlook without data loss, built a document architecture in SharePoint and OneDrive that matched how the business actually works, and rolled out Teams as the primary communication layer.
The project was delivered in phases to avoid disrupting day to day operations. Power users were trained first so they could support the broader rollout, then the wider team was onboarded with clear documentation and live sessions.
Licensing and Subscription Design

Team and channel structure aligned to business operations. Meeting and chat defaults configured, external guest policies set correctly, recording policies set.
Security Baseline
Multi factor authentication enforced, conditional access policies set, secure score improved, anti phishing policies enabled, admin accounts hardened.
