Overview

A luxury destination resort in Canada operating across multiple business units — accommodations, food and beverage, and golf operations — was managing all employee lifecycle events through manual emails, ad hoc follow ups, and scattered tracking methods. Every hire, departure, internal transfer, promotion, or housing request triggered a chain of unstructured communication across departments with no central ownership and no visibility into what had been done or what was still outstanding.

As workforce volumes grew with the scale of the operation, the cracks became impossible to ignore. Tasks were dropping off. Onboarding was delayed. IT access was not ready on day one. Housing requests sat unactioned. Offboarding steps were missed. Leadership needed a system that could manage all of it reliably without adding more administrative headcount to hold it together.

The Challenge

The organisation was running employee lifecycle management the way most companies run it before they have proper systems — entirely on people remembering to do things and emails getting replied to. When those emails got buried or the wrong person was looped in or someone went on leave, the whole process stalled and no one had a reliable way to know where things stood.

The ambition was clear. Leadership wanted a single logic driven framework to manage every lifecycle event end to end — onboarding, offboarding, transfers, promotions, housing requests, and IT setup — with clear ownership at every step, automated routing to the right teams, and a central audit trail that anyone in leadership could check at any time without having to chase people for updates.

What We Built

We designed and implemented a centralised cross department automation system using Microsoft Power Automate, built around a single standardised intake mechanism that captured every employee lifecycle event and routed it automatically to the right teams with the right tasks assigned and the right notifications sent.

The system pulled data from HRIS, Excel workforce files, and SharePoint to drive routing logic — so every decision about who got notified and what tasks were generated was based on the actual employee record, not someone manually deciding who to CC on an email.

Standardised Intake System

A single request mechanism capturing all lifecycle events — onboarding, offboarding, transfers, promotions, housing, and IT setup — replacing scattered emails and verbal requests across departments.

Logic Based Routing

Power Automate workflows dynamically routing every request to HR, IT, Housing, and operations teams based on request type, employee role, and department — zero manual triage required.

Outlook and Teams notifications triggering automatically at each stage of every workflow — alerting the right stakeholder at the right time and eliminating manual follow up entirely.

Real Time Task Tracking

Department specific task structures built on SharePoint and Excel giving every team clear ownership of their steps and giving leadership a live view of where every request stood at any moment.

Role Based Access Controls

Each department accessed only the information relevant to their tasks while a centralised audit trail maintained full visibility and accountability for every lifecycle action taken.

Every lifecycle event logged automatically with timestamps, actions taken, and responsible parties — creating a reliable historical record that replaced the chaos of email threads and spreadsheet notes.
